Section 1: Consent and Modification
By accessing or using the Services, you consent to the collection and use of your information in accordance with this Policy. If you do not agree with this Policy, you must refrain from using the Services. Herohub reserves the right to amend this Policy at any time. Your continued use of the Services following the posting of revised terms constitutes your acceptance of such changes.
Section 2: Applicability to Minors
The Services are intended for individuals who are at least eighteen (18) years of age. Herohub does not knowingly collect personal data from individuals under thirteen (13) years of age. If we discover that we have inadvertently collected personal data from a child under 13 without verified parental consent, we will delete such information. Herohub may collect the following categories of information:
- Personal Identifiers: name, email address, telephone number, mailing address, company affiliation, and job title.
- Business and Operational Data: dealership KPIs, performance metrics, financial submissions, and other proprietary business information.
- Interaction Data: data submitted through surveys, DealerAI simulations, Google Forms, or Herohub-hosted meetings, including voice and video recordings.
- Technical Information: IP address, browser type, device identifiers, operating system, session activity, cookies, and other diagnostic data.
- Third-Party Data: data from business partners, including Herohub clients such as manufacturers, distributors, and vendor partners, and from integrated services, for the purpose of performance improvement and benchmarking.(f) Automated Decision-Making: DealerAI simulations may generate scoring and feedback for training purposes. These are not used for hiring, firing, or other legally binding decisions.

Section 4: Methods of Collection
Information is collected: (i) directly from users via submissions, registrations, or communications; (ii) automatically through cookies and tracking tools; and (iii) via third-party integrations and tools embedded in Herohub Services.
Section 5: Purpose of Use
Third-Party Service Providers and AI Vendors
Herohub engages reputable third-party service providers and technology vendors to support the delivery and improvement of the Services, including AI-powered tools and other platform functionality. These partners may include cloud infrastructure providers, analytics services, communication platforms, and AI technology providers. While Herohub does not disclose the identities of these third-party vendors in this Policy, all third parties are contractually bound to protect user information and may only access data to the extent necessary to fulfill their service obligations. Herohub ensures that such vendors maintain appropriate security, confidentiality, and compliance practices consistent with this Policy and applicable data protection laws.
AI-Powered Tools Disclosure
Herohub utilizes artificial intelligence ("AI") technologies, including conversational tools and simulations, as part of its training, coaching, and communication Services. These AI tools may interact directly with users and generate feedback, performance insights, and training simulations. Data submitted during AI interactions—including but not limited to text, voice, video, and selections made by users—may be used to personalize the training experience and improve the accuracy and performance of Herohub’s AI systems. These tools are designed for educational and engagement purposes and are not intended to make legally binding decisions. Herohub does not use AI-generated outcomes for employment decisions or contract enforcement.
Herohub uses collected information for the following purposes: (a) to operate and manage the Services; (b) to facilitate training, assessments, and simulations; (c) to improve platform functionality and user experience; (d) to perform analytics, benchmarking, and research on aggregated data; (e) to administer billing, communications, and customer relationships; (f) to comply with legal obligations and enforce contractual rights; (g) to send communications, including promotional content, with user consent.
Section 6: Cookies and Tracking Technologies
Herohub uses cookies and similar tracking technologies for session management, personalization, and analytics. You may configure your browser to reject cookies; however, doing so may limit functionality of the Services. For more information, visit

We do not currently respond to browser “Do Not Track” signals.
Section 7: Information Sharing and Disclosure
Herohub may disclose user information as follows:
- to employees, contractors, and service providers bound by confidentiality;
- to Herohub clients, including manufacturers, distributors, and other vendor partners, in de-identified, aggregated form;
- to third parties involved in business transitions (e.g., mergers or acquisitions);
- to comply with legal processes, court orders, or government requests;
- to protect the safety, security, or legal rights of Herohub or its users;
- to third-party sites linked through the Services, which have their own privacy policies.
Herohub assumes no responsibility for the privacy practices of linked third-party services.
Section 8: Data Storage and Security
User data is securely stored in Microsoft Azure servers located in the United States (U.S. East region). We implement industry-standard security practices, including encryption, password protection, and IP whitelisting. All personnel with access to user data are subject to strict confidentiality obligations. Despite these measures, no system can be guaranteed secure, and users assume all risks associated with internet-based data transmissions.
Section 9: Data Retention and Auditing
Herohub retains information for as long as necessary to fulfill the purposes outlined in this Policy or as required by law. We may retain data post-deactivation for legal compliance, dispute resolution, and platform integrity. Herohub maintains internal records of processing activities and conducts periodic audits for privacy compliance.
Section 10: User Rights
Users may request access to their personal data and may seek correction, deletion, or portability of that data by contacting info@herohub.com. Requests will be processed in accordance with applicable law within thirty (30) days.Users may also submit complaints related to data use. If you believe your concern has not been addressed, you may contact the Idaho Attorney General’s Office or appropriate regulatory authority.
Section 11: Marketing and Communications
Users may opt in or out of marketing communications at any time by following opt-out instructions in the messages or contacting info@herohub.com. Herohub may still contact users regarding service-related or legal matters.
Section 12: State-Specific Rights
Residents of California, Colorado, Connecticut, Virginia, Utah, and Nevada may have additional rights regarding their personal data, including the right to:
- access and delete personal information;
- correct inaccuracies;
- receive a copy of personal information (data portability);
- opt out of targeted advertising and automated profiling.
Utah residents may request annually the categories of personal data shared for marketing purposes under Utah Code Annotated §§ 13-44-101 et seq.
Section 13: International Use
The Services are operated within the United States. Users accessing the Services from outside the U.S. acknowledge that their data will be transferred to and processed within the United States in accordance with this Policy and applicable U.S. law.

We may disclose information if legally required or if we believe in good faith that such action is necessary to: (i) comply with legal obligations; (ii) investigate or prevent unlawful activity; (iii) enforce agreements; (iv) ensure platform integrity; or (v) protect rights and safety of users and personnel.In the event of a data breach involving your personal information, we will notify affected users and regulatory authorities in accordance with applicable laws.Where permitted, Herohub will attempt to notify affected users unless prohibited by law.
